Reception

On arrival at a site, a full color photograph is taken and personal details are recorded and digitally stored. Optionally, the visitors fingerprint details can be electronically enrolled to provide a future check of their identity. Once the details are safely stored within the PC, an inexpensive bar coded pass is then issued containing a photograph, name and validation dates.

Recording visitors or contractor's visits is as simple as a swipe of their bar coded pass. This is especially useful for long-term contractors who can be issued with a pass valid for up to a year.

The receptionist is notified whenever a pass is swiped that is out-of-date or has other irregularities. There is also a small pop-up screen containing the person's digital photo image so that an extra visual check can be made.

Self Registration

Companies that do not have a front desk receptionist can take advantage of the VMS Unmanned Reception Console. This Console is operated via touch screen technology only; no mouse or keyboard is needed.

Here, visitors with appointments can book themselves in and out and the back office can contact their host upon their arrival. This can be done manually or the host can be automatically notified by email.

Pass Printing

VMS can print different styles of pass documentation depending on the type of visitor or contractor. These can be produced in advance of a scheduled appointment or impromptu on arrival.

Appointments Management

Visitor appointments can be pre-booked either directly on the system or through the online Appointment Planner. In this way visitor reception can be handled swiftly and accurately with maximum speed and minimum fuss.

Digital Photographs and Signatures

VMS registers visitors on and off site with their photograph taken on arrival using a digital camera. This photograph can be printed on visitor passes for identification purposes. Pass printing is via a high-speed printer or dedicated card printer.

VMS allows Signature Capture Tablets to be connected to the system so that the signatures of visitors and contractors can be stored at the point of entry to your premises. This signature can be used for verification purposes or as proof that the visitor/contractor has read and understood the sites Health & Safety or Security policies. These signatures can also be printed on to visitor's pass for added security.

Stored digital images are available to ensure instant confirmation of visitor identity. VMS will also provide warnings when banned or cautioned visitors are recognized. Fast search facilities allow you to determine the visitor and the ownership of suspicious vehicles.

Fire Roll Call and Reporting

VMS can produce Fire Evacuation Reports for visitors and contractors to meet your Health & Safety requirements. It also has excellent and comprehensive reporting software to generate:

• Records of the historical movements of visitors.
• Contractor times on site.
• Visitors who are late or have missed appointments.
• Vehicles on site.
• Visitors who have not booked out.
• Room booking and facilities management.

Bespoke reports can also be generated by the built-in report writer.

Document Scanning

The document scanning facility within VMS allows your organisation to make scanned digital copies of special identification documents, accreditations, licenses or insurance documentation provided by the visitor or contractor.

Once recorded onto the system, these documents can be retrieved, viewed or recreated and printed on demand. This is particularly important where it is necessary to provide proof that the proper due diligence procedures have been followed and that only properly qualified people are allowed on site.

Biometric Fingerprint Reading

Tensor's range of fast-reading fingerprint readers can also be used within VMS to provide irrefutable proof that the visitor or contractor is who they say they are. This is of particular importance in high security sites, sites that might be considered to be soft terrorist targets or those particularly at risk from criminals. Tensor's fingerprint reading technology does not rely on light but uses the electrical characteristics of the user's skin to determine an individual's true fingerprint.

It works by reading the capacitance reflections to build a picture of the fingerprint, which is matched against the persons' known fingerprint, recorded earlier. This provides increased accuracy and reliability whilst our fast matching algorithm verifies the fingerprint very quickly - typically within 1 second.

Tensor's fingerprint readers are already used by the Prison Service to manage prison visitors and prison inmates.
